Is there a trip minimum cost?

Yes, $5,000

What is an appropriate budget for a custom trip?

We’ve found that a budget of $500 per person per night based on double occupancy, is a good starting point for a premium guided adventure. Or, $300 per person per night if rooming is based on triple or quad occupancy.

Is there a minimum length of trip?

To get a real sense of the MT Sobek experience, we recommend a minimum of 5 days.

Is there a minimum number of travelers?

We’ve designed trips for groups from 2 to 200, most are between 4 and 12 guests

Is there a minimum age?

We can tailor activities to different age groups but our experiences are most appreciated by guests 6 and older.

Deposits, Cancellations, Commissions & Travel Protection


What does the MT Sobek operational fee cover?

Our operational fee covers our impeccable trip design, trip materials, 24/7 on trip support and contingency plans for COVID-19 and weather disruptions.

What are your deposit terms?

What if my client needs to cancel their trip? What is the cancellation policy?

Our cancellation policy for Custom trips is as follows:

From time of reservation until 95 days prior to trip departure…. 25% of Land/Cruise Cost

94 to 61 days prior to trip departure………………………………………. 50% of Land/Cruise Cost

60 days or less prior to trip departure……………………………………. 100% of Land/Cruise Cost

Why does MT Sobek have a 95-day cancellation policy?

Our cancellation terms reflect the time and expenses we incur creating and reserving custom itineraries.

Can I cancel the hotels per the hotel policy?

Agents sometimes ask why our cancellation policies do not match those of the hotels we use. To receive preferred rates, the cancellation terms given to travel companies are almost always more restrictive that those for the public. Please see our terms and conditions for specific Custom Trip cancellation policies.

How to I protect my travel investment?

Travel protection cannot prevent mishaps from occurring, but it can reduce the burden of unexpected expenses and additional travel arrangements that need to be taken care of with little notice. We highly recommend purchasing travel protection before your trip. Note: Many plans require purchase within a certain time from making your reservation or before final payment is made.

For your protection, and at your option we offer the MT Sobek Travel Protection Plan. This plan combines trip cancellation and interruption coverage, baggage loss protection, and emergency medical expense coverage along with emergency medical evacuation coverage. To review the MT Sobek Travel Protection Plan details, go to https://partner.roamright.com/?AgencyCode=MTSOBEK. The plan becomes effective upon MT Sobek’s receipt of the premium amount. Please note that deposits are not applied toward your travel protection premium. The MT Sobek Travel Protection Plan may be purchased at any time up to your final trip payment.  However, we encourage you to purchase this plan within 14 days of your initial trip payment in order to be eligible for certain time sensitive benefits.  If you would like to purchase the MT Sobek Travel Protection plan, please contact your Adventure Coordinator.(Note: Some trips, including but not limited to Polar trips, require proof of emergency evacuation insurance in the minimum amount of $100,000.) For all trips, we recommend you purchase the MT Sobek Travel Protection Plan outlined above to help with protection from trip cancellation fees for covered reasons and for emergency medical expenses and emergency medical evacuation coverage.

The plan becomes effective upon MT Sobek’s receipt of the premium amount. Deposits are not applied toward your travel protection premium.

What if my clients get COVID?

We strongly encourage your clients to purchase a travel protection program that covers COVID-related illness.

When will my commission be paid as a travel agent?

Agent commissions are normally paid at the end of the month that the trip departs.

Can I pay with multiple credit cards?

Yes, we can split payments over multiple credit cards.

Can my travel agency pay NET?

We are happy to provide a NET rate. However, when we provide NET rates, we do NOT accept payment directly from the clients. Agencies will need to collect client payments in-house, and provide payment to MT Sobek by check or wire.  We will not provide net pricing, and then add your mark up and charge the clients.

Documents, On-Trip Support & Itinerary Modifications


When will I receive my final documents?

Final documents will be emailed you 3-4 weeks prior to departure.

What will I receive with my final document packet?

Your final document packet will include an electronic final bulletin and timed itinerary comprised of detailed daily instructions, driving directions, and confirmation information, as well as areas suggestions, weather snap shots, restaurant recommendations and a packing list.

Do you provide suggestions for free-time activities at the destination?

Your information will include suggested activities for free time, restaurant suggestions, as well as “point of interest” stops along driving routes where applicable.

What kind of support will my clients have while they are traveling with MT Sobek?

Our trip support team is available 8 AM to 5 PM Pacific Time, Mondays through Friday. Emergency support is available 24/7.

Can I modify an itinerary after booking? Can I change my dates? Is there a change fee?

Once you have made your deposit, you are subject to our cancellation Terms & Conditions. Changes to itineraries are often not possible and subject to availability. A minimum change fee of $250 will be charged to make modifications.

Services We Book


Do you make dinner reservations?

We are not able to help book or manage dinner reservations at this time as restaurant opening hours and availability are very much in flux.

Does MT Sobek book rental cars?

No.

Does MT Sobek book commercial air?

No.

Does MT Sobek book hotels only?

MT Sobek specializes in creating a full adventure experience. We do not add value to hotel only trips, and encourage our guests to take advantage of our network of guides and services to get the most out of their vacation days.

Does MT Sobek book activities only?

Our Custom Trips are meant to include all elements of a trip – hotels, guides, and activities. However, we will book activities-only trips if they meet or exceed our trip minimums.

Can I book at day tour with MT Sobek?

We cannot book day tours. Our minimum trip budget must is $5,000 and minimum trip length is 4 nights /5 days.

What if I want all shared touring and activities?

We do not recommend trips with only shared touring options. Our trips include a mix of private guiding and shared activities where it makes sense for the budget or experience (think rafting – you need more than 2 people in a boat). Our custom trips strive to be highly personalized, and shared touring often does not allow for customization or personalization. If you are interested in a shared experience, our scheduled departures in the US provide a small group experience that your clients can join.

Definitions


What does self-drive mean?

Self-drive itineraries means we have selected a variety of activities for your clients based on their preferences, and made sure they all logistically work together. They will drive from place to place on their own (don’t worry, we provide the directions!) and have the freedom and flexibility of having their own private car for your down time.

What does fully escorted mean?

Fully escorted means that they will have door-to-door service from the airport on their vacation, and will have the ability to sit back, relax, and let someone else do the driving. On Fully Escorted trips your clients have the same driver/guided throughout – with the addition of specialty guides where needed, and additional transfers where it makes sense.
